This is the application form for the open call for events.
We recommend filling out the form as early as possible in planning the event. The earlier we know about the events, the better we are able to support the organizers and plan event communication.

Filling out the form takes about 15 minutes.
Unfortunately, the form cannot be saved and continued later, but must be filled in completely at one time. Please note that the information can be supplemented later.
After filling out the form, you will receive a message that the form has been received. We will get back to you as soon as possible; no later than 31 May. Please note that the application form is available only in English.

The information you provide in Part 1 will display publicly on your event page in the Helsinki Design Week event calendar.

The form is divided into two parts. The information you entered in point 1 will become public on your event page in the Helsinki Design Week event calendar. The information entered in point 2 is not public, but will be used internally for information and invoicing.

Please note that registration is binding. By filling out the form, you give your consent for Luovi Productions (Helsinki Design Week & Weekly) to contact you.

Since 2023, the diverse group of event organizers have been divided into non-profit and business. Prices are lower for non-profit organizations.

Each selected event organizer gets access to HDW’s intranet, where you can find instructions for the event organizer compiled by Luovi’s team. The intranet pages have useful information and advice for sustainable event production, versatile marketing communication materials, and instructions for updating event pages.

If you have to cancel your event, please send a written notification by email to iris.korkman@helsinkidesignweek.comno later than 5 June 2024. If you have not canceled your event by this day, we will charge the full participation and additional service fee.

Helsinki Design Week’s programme consists of Main events, Companion events and Satellite events. The dates of the main events will be updated on Helsinki Design Week’s official event calendar and the entire programme can be found on week 24. We recommend the organizers of Companion and Satellite events to manage the Event Dates between 9 and 15 September 2024. If choosing a time makes you think, you can contact Iris by email (iris.korkman@helsinkidesignweek.com).

In the event calendar, events are listed by event type. You can choose the event type and, in addition, a more detailed event theme.

In addition to the events of Helsinki Design Week, events aimed at children and families with kids are also organized around the city. Event organizers have the opportunity to apply to be part of the separate events programme of Children’s Design Week. If your event is aimed at children, you can also choose to participate in Children’s Design Week. A CDW’s theme icon will be added to your event photo, and your event will also be listed in the Children’s Design Week programme.

The description of the event will appear on the website, so please pay attention to the spelling. Helsinki Design Week reserves the right to edit texts in terms of length and language to fit the formats of marketing materials. We offer translation services to event organizers; additional orders can be found on the last page of the form.

Image style and format
The image must be a photograph or a picture of the event – we do not publish logos. Choose the image carefully – it’s the best way to stand out in our calendar! The aspect ratio is preferably 3:2 or 16:9 (horizontal).

Design is still sadly often seen as a surface finish, a visual addition at the end of projects. Although beauty and harmony are always needed, there is an untapped power of change in design expertise.”Underneath” invites us to reach deeper and further – to learn from the past and look with an open mind to the future. The theme also brings to the surface the research and development work that is an essential part of the creative process.

You can increase the visibility of your event by purchasing more marketing services. Please note that the event organizer is responsible for delivering the required materials to the HDW team by the separately agreed deadline. Should the material not arrive in time, the HDW team will not be able to implement marketing communication measures, and the fee will not be refunded. The HDW team reserves the right to modify images and texts to suit the whole.

Marketing package M (€570 + VAT 24%)
HDW publishes the event details in a themed newsletter sent during the festival season. Daily event recommendations including your event are also shared on social media channels. (RECOMMENDED FOR COMPANION EVENTS)


Marketing package L (€2550 + VAT 24%)
An advertorial article will be produced for Helsinki Design Weekly media about your news or event.

The event organizer will either send the finished materials or give an interview for the advertorial. An example article can be read here. The event details or news will also be shared in the newsletter as well as social media channels.

Front page banner
Banner space is available for one week (1 week) for the period between 6 August and 30 September 2024. During the period, the page will have more than 50,000 weekly visitors. The event organizer undertakes to deliver the finished banner to the HDW team according to a separately agreed schedule. There are a limited number of banner places, and they will be sold on a first-come, first-served basis.

Video visibility
Visibility is also available through a compilation video shot during HDW. The HDW team plans and implements a short video presenting the highlights of the festival. The video will be shared on Helsinki Design Week’s channels, and each event shown in the video will be tagged with social media tags. The planners of each event shown in the video will also be able to use the video on their own channels immediately after the end of the festival.

With the help of the familiar Helsinki Design Week print materials, visitors will recognize that your event is part of the festival.
